1. Who we are
FlightClaimHQ is a trading name of TETRIS GROUP LLC, which is the controller of the personal data collected on flightclaimhq.com. Contact: support@flightclaimhq.com.
2. What we collect
When you file a claim: your full name, email address, flight details (flight number, date, airports, airline, type of disruption), the number of passengers, the documents you choose to upload, and the date and time you sign your mandate.
When you join our waiting list (offered while we are not yet taking claims): your email address, your first name if you give it, your flight number and date, the departure and arrival airports, the type of disruption, the compensation estimate shown to you and the language of the site. We do not ask for bank details, identity documents, boarding passes or a postal address at that stage.
3. Why we use it and on what legal basis
Claim data is used to assess your eligibility and to pursue your claim with the airline on your behalf. The legal basis is the performance of the mandate you give us (UK GDPR article 6(1)(b)).
Waiting-list data is used only to tell you by email when claims open and to contact the oldest flights first. The legal basis is your consent (article 6(1)(a)), which you can withdraw at any time. It is never used for marketing.
4. Who receives it
Claim data may be shared with the airline concerned and, where needed, with an alternative dispute resolution body or a court, only to handle your claim. It is also processed by our technical providers (hosting and email) within the limits of their service. We never sell your data.
Waiting-list data is not shared with anyone for their own purposes. It is stored by our hosting provider. All traffic to flightclaimhq.com passes through Cloudflare, Inc. (United States), which protects the site against attacks and malicious bots and speeds up delivery, and so technically processes requests (IP address, browser headers and content sent over HTTPS). That transfer is covered by the UK Extension to the EU-US Data Privacy Framework and by standard contractual clauses with the UK addendum. Your IP address is also used briefly, in memory, by us to limit abuse of the sign-up form; we do not store it.
5. How long we keep it
Claim data is kept no longer than necessary: while your claim is being handled, then at most 6 years after it closes (the UK limitation period) to establish or defend legal claims.
Waiting-list sign-ups are deleted automatically 12 months after you join. If you ask to be removed, they are deleted straight away.
6. Your rights
You can ask to access, correct or delete your data, to restrict or object to its use, and to receive it in a portable format, by writing to support@flightclaimhq.com. To leave the waiting list, email the same address. You can also complain to the Information Commissioner's Office (ico.org.uk).
7. Security
Data is sent over HTTPS, through a network protection service (Cloudflare) that filters attacks and automated traffic before it reaches our server, and stored on a server with restricted, authenticated access. Technical secrets are never stored in our code.
8. Visit statistics
We count visits with Umami (self-hosted, honours Do Not Track) and GoatCounter, under our legitimate interest (UK GDPR article 6(1)(f)), to know how many people use the site. It sets no cookies and stores no personal data: only anonymous, aggregated figures (pages viewed, referring site, country, browser and screen size).
